Information Manager

The National Archives (TNA) is the official archive and publisher for the UK Government, and for England and Wales. We hold over 1,000 years of iconic national documents – from Domesday Book to digital files from contemporary government. Our mission is to collect, preserve, and make accessible the record of the state, helping citizens understand their past and governments make informed decisions for the future. The Information Manager is the product owner for our information management systems, and responsible for policy development, and the engagement on these areas with senior management and the wider organisation. You will have a strong understanding of information and records management and of the technical skills to manage records within our corporate information management tools. The role is a core member of a dynamic Knowledge and Information Management (KIM) Team, based within IT Operations, but operating pan TNA.

This is a full time post. However, requests for part-time working, flexible working and job share will be considered, taking into account at all times the operational needs of the Department. A combination of onsite and home working is available. Applicants must be able to work from our Kew site at least 60% of their time, possibly more when new to the role.

SC clearance/willingness to obtain SC clearance will be required for this role. This requires candidates to have been resident in the UK for at least the past three years. Please do not apply if you have been resident in the UK for less than three years as your application will be rejected

Essential criteria:

- Strong KIM technical expertise in managing SharePoint Online (including non-teams enabled sites and Teams) and Office 365 and practical experience of using systems administration tools including SharePoint Admin Centre, M365 Audit reports, Microsoft Purview to manage site collections, retention labels and records; and create reports. Understand and able to leverage Power Platform: Apps, Automate, Power BI, PowerShell scripts to support information management.

- Strong attention to detail, problem solving skills and technical skills in SharePoint; ability to act as a technical lead and provide third-line support for information management systems

- Strong knowledge of information and records management requirements, principles and legislation, particularly the Public Records Act. Including an understanding of the business benefits, levels of aggregation and challenges of managing records in tools like SharePoint and Teams.

- Experience of developing and maintaining tools and processes within information systems to support records management requirements; e.g. creation, preserving integrity, appraisal and application of retention labels, disposal actions, sensitivity review and export for transfer to The National Archives for permanent preservation.

- Demonstrated experience in policy development and organisational adoption of new governance frameworks. Able to lead on policy implementation and drive the adoption of new organisation wide polices

- Excellent stakeholder engagement skills, with the ability to communicate and influence effectively at all levels, including executive leadership.

- An enthusiasm for technology and able to contribute towards future technology and influence and enhance the technology roadmap.
